What Challenged Client & Vendor Communication?
Communication quickly became complex with 100+ clients across the US, UK, Canada, Germany, UAE, and KSA. Each market expected slightly different tones, and the CEO couldn’t realistically draft every message personally, which resulted in inconsistent quality, slower response times, and diluted leadership presence in emails that often carried high-stakes information.
Objectives
- Ensure every email sent on behalf of the CEO reflects authority and consistency.
- Adapt tone for diverse global audiences while staying professional and brand-aligned.
- Reduce friction in client/vendor communication by making updates clear and action-oriented.
- Build repeatable structures for high-frequency touchpoints.
My Approach & Strategy
1. Codifying the CEO’s Voice: I observed how the CEO naturally communicated, then built a practical guide covering preferred greetings, phrasing, and structure. This allowed me to ghostwrite seamlessly, so messages always sounded authentically executive.
2. Structuring Core Email Types: Created frameworks for recurring touchpoints. Each email followed a precise flow: greeting → main point in 1–2 sentences → supporting details (bullets/tables if needed) → call to action → warm yet professional sign-off.
- Order Requests
- Order Confirmations
- Weekly Client Updates
- Monthly Performance Summaries
3. Tone Adaptation for Global Clients: Though all emails were in English, tone was adapted per region.
- US/UK clients: direct, concise, friendly, professional.
- Germany: formal, detail-heavy, with explicit confirmations.
- UAE/KSA: courteous, respectful phrasing with an emphasis on partnership.
4. Consistent Ghostwriting Support: For 3 years, I drafted all client- and vendor-facing emails in the CEO’s name, ensuring consistency across daily correspondence, escalations, and executive updates.
Deliverables
- 4 recurring email frameworks (Order, Confirmation, Weekly, Monthly).
- CEO voice & tone guide (one-pager for internal alignment).
- 1000+ ghostwritten email copies over 3 years, covering routine and high-stakes communications.
- Consistency and polish that elevated client perception of the brand’s leadership.
Outcomes & Impact
- Streamlined communication across 100+ active global clients.
- Increased client confidence by ensuring all outreach reflected an executive-level voice.
- Reduced clarification loops by making updates sharper and more structured.
- Contributed directly to retention and trust-building in long-term accounts.
Lessons Learned
- Ghostwriting requires more than writing skill, because it’s about sounding indistinguishable from leadership.
- Even in English-only contexts, subtle tone adjustments build cultural alignment.
- Email frameworks and email checklists save time while still leaving room for personalization.
